Role Overview
As the right hand to our Executive Leadership team, you’ll keep Neurologic Digital humming—both operationally and culturally. You’ll own everything from executive support and office systems to light finance coordination and team-building events. You’re highly organized, tech-savvy, emotionally intelligent, and you thrive in a fast-moving startup environment.
Key Responsibilities
Executive & Leadership Support
- Manage CEO’s and CTO’s calendars, coordinate 1:1s and leadership off-sites
- Book complex travel itineraries and accommodations (domestic and international)
- Draft and reconcile expense reports, corporate card statements and petty cash
Office Operations & Vendor Management
- Oversee office facilities, supplies and health & safety compliance
- Serve as primary liaison for IT, telecom and facilities vendors
- Administer our Atlassian suite (Jira, Confluence) and communication platforms (Slack, Zoom)
Finance & Systems Coordination
- Partner with our Fractional CFO to set up and maintain accounting workflows
- Issue invoices, track payments and support monthly close activities
- Implement and document operational SOPs: CRM hand-off, onboarding checklists, escalation paths
Communications & Presentations
- Create polished slide decks, one-pagers and training materials for internal and client-facing meetings
- Coordinate our presence at industry conferences: booth logistics, speaking proposals, collateral design
- Draft press releases, blog posts and social-media announcements in collaboration with Marketing
Team Engagement & Events
- Organize quarterly off-sites, workshops and company all-hands
- Coordinate team breakfasts, celebrations and volunteer days
- Maintain our employee directory, internal announcements and pulse-check surveys
HR & Recruitment Support
- Schedule candidate interviews, manage background checks and onboarding paperwork
- Maintain HRIS data (via Deel, BambooHR or similar) and ensure compliance with local labor laws
AI-First Automation
- Proactively use AI tools (e.g., ChatGPT, Gamma.app, Lucidchart) to draft communications, automate routine workflows and generate first-pass deliverables
- Identify repetitive tasks within the team that can be delegated to our AI assistant and help train colleagues on those workflows
Required Qualifications
- Hands-on experience with Google Workspace, Microsoft Office 365, Slack, Zoom and basic bookkeeping
- Familiarity with Atlassian tools (Jira, Confluence), presentation software (Keynote/PowerPoint) and simple automation tools (Zapier)
- Excellent written and verbal communication in English and Spanish
- High emotional intelligence: you read the room, adapt your style, and keep relationships strong
Preferred Qualifications
- 3+ years in an administrative or office-management role at a tech startup or high-growth company
- Experience working alongside C-level executives in pre-seed or early-stage startups
- Basic understanding of US GAAP or Colombian NIIF principles
- Prior coordination of remote/hybrid teams across multiple time zones
- Track record of using AI-powered applications to accelerate administrative workflows
